Vacancy: Events Manager

The role

ESTA is seeking a self-employed Events Manager to manage existing events as well as develop and promote a variety of others. The contract is for one year, with the potential to extend the contract after this time. If you are an outstanding communicator with the ability to work independently with initiative, have experience with budgets and have a good record of managing or supporting events this new role may be for you.

ESTA currently holds two flagship events each year: a three-day national conference attended by teachers and other educators from around the UK; and a week-long residential summer school. It is the UK's only Earth Science provider of teacher training.

In addition to these activities ESTA would like to develop profile-raising regional and online events as one-off or potentially regular events which are marketed to members, prospective members and interested third-parties.

Main duties

Working closely with the Secretary and Chair, the Events Manager's main duties include:

  • Marketing events to potential attendees.
  • Responding to event enquiries.
  • Distribution of preliminary event information.
  • Supporting attendees with special access or attendance requirements.
  • Creating and maintaining event activity registers.
  • Creating event registration forms via our web platform tools.
  • Receiving event registration forms and offline payments.
  • Contacting and securing potential exhibitors and sponsors.
  • Negotiating service rates with suppliers for events.
  • Liaising with event venues on facilities, catering, photography etc.
  • Ensuring event materials are archived and used appropriately online.
  • Managing event budgets, invoicing and accounting.
  • Supporting the creation of event pricing structures.
  • Managing exisitng events (conference and summer school).
  • Developing online events for members and the wider community.
  • Developing face-to-face regional events for members.

  1. A self-employed one-year contract with the possibility of an annual extension or longer term contract after this.
  2. Remuneration of £6000 pa.
  3. An approved budget for expenses to attend the summer school and annual conference.
  4. A development budget for new events.
  5. The opportunity to lead events for the UK's professional association for the advancement of the teaching of Earth Sciences.

  8. Complementary attendance at the annual conference and any other events you are required to attend in your official capacity.
  1. The successful meeting or exceeding of annual targets and a commitment of time to ensure this.
  2. Attendance at all meetings relevent to the role. These will normally be held online or on site during events.
  3. Attendance at the annual conference and summer school.
  4. Attendance at new events, as appropriate.
  5. A short written report presented to full Council meetings at the end of each event and a full report at the end of the year.
  1. An understanding of Earth Science or related disciplines as well as an understanding of teachers and their professional needs. (D)
  2. At least one year's experience of managing events on a national scale. (D)
  3. Experience of fundraising. (D)
  4. You may have experience of updating or maintaining content on websites. (D)
  5. An understanding of the complexity of charities and the voluntary role of charity trustees (E)
  6. Proven experience of supporting successful events on a local or national scale. (E)
  7. The ability and willingness to travel around the country to support or run activities. (E)
  8. You have excellent communication skills and be comfortable interacting with a wide range of stakeholders. (E)
  9. You will excel at working independently and with initiative and understand when to seek support. (E)
  10. You will have good IT skills and be highly familiar with the functions of common business tools (Google and Microsoft) and events software (such as Eventbrite). (E)
  11. You will have an outstanding attention to detail. (E)
  12. You will have experience of managing budgets. (E)

ESTA’s Aim:

To advance education by encouraging and supporting the teaching of Earth sciences at all levels, whether as a single subject such as Geology, or as part of Science or Geography courses.

ESTA Council’s Objectives:

Provide value, support and interest to members through the annual Course and Conference, Teaching Earth Sciences, in-service training and educational resources.

• Engage with, and influence where possible, those organisations that impact Earth science education.

• Work with appropriate external partners to further the aim of the Association.

• Ensure effective communication within and beyond ESTA membership.
